What is a reason code?
There are certain situations in e-timecard where users have to supply a reason code to explain their actions. Reason codes provide a standardized means of communication between employees and approvers. They also provide an audit trail that your company can use to meet DCAA requirements.
Once an employee saves a labor entry, e-timecard monitors any changes that s/he makes. Depending on your settings for the employee’s org9 and on the Parameter Setup screen, a change might require the employee to supply a reason before e-timecard accepts the change. You can also require employees to provide reason codes for late entries, late submits, and clocking out. In all of these situations, the approver can later view the reason that the employee gave.
Approvers must supply reasons when delegating their approval authority to another approver or when rejecting employee time cards. When an employee opens a rejected time card, e-timecard displays the reason that the approver gave for the rejection.
You can also choose to require group timekeepers entering other employees’ time to supply reasons.
