Setting parameters for start/stop timekeeping


e-timecard lets you set up start/stop timekeeping. This feature is like an electronic version of paper time cards where employees indicate the exact clock times they worked for each day. Employees can make multiple clock in/clock out entries for each day of the time card period.

On the Parameter Setup screen, you indicate whether employees who use start/stop timekeeping are required to select reason codes for each time they clock out, and whether approvers can change employees’ start/stop entries.

Later, you will set up reason to leave codes. Then, you will decide at the employee type level whether employees can use start/stop timekeeping.

In addition to the setup tasks for start/stop timekeeping, there are other e-timecard administrative settings that affect this feature. The table below explains these impacts.

Which earning codes count toward time card working hours?

When an employee submits a time card that has start/stop entries, e-timecard validates that none of the employee’s clock hour totals are less than the time card working hours for that day. Your setting for the Earning Class field on the Earning Codes screen is important, because charges to earning codes with the following earning classes are not considered working hours.

  • Vacation, Sick

  • Holiday

  • No Pay

  • Approved Time Off

  • Premium Only

If an employee’s clock hours for any day are less than the time card working hours, e-timecard generates a soft error at the time of submittal.

Do employees have to supply reason codes for changing start/stop times?

If an employee changes an existing start/stop entry, e-timecard looks to your setting for the Change Reason Codes field on the Org9 Setup screen to determine if it prompts for a change reason code. If the employee saves a change reason code for a start/stop entry, e-timecard creates a record in the audit trail. Employees and approvers can view the audit record on the View Time Card Change History screen.

Can employees change start/stop times on archived time cards?

When you export time cards, the program moves employees’ start/stop entries to an archive table. Your setting for the Access Archived Time Cards field on the e-timecard Initialization screen determines whether employees can open exported time cards and make changes to start/stop entries.
