Using multiple reason code types
Depending on your settings, it is possible for e-timecard to prompt an employee to enter more than one reason code with multiple reason types during the same save/submit. How does e-timecard handle this?
To demonstrate the order of the reason codes, in the items below we assume that the employee’s org9 is set up to require a reason code for any change, and that the Parameter Setup screen has both late entry and late submittal reason codes enabled.
An employee opens a time card and makes changes to at least one existing entry and makes at least one new, late entry. At no point while making these entries does the employee save.
The employee clicks Submit Time Card. The submittal is late.
e-timecard first prompts for reason codes for each change to the time card. So, if the employee made two changes, e-timecard prompts for a reason code twice on one Explain Changes screen. If the employee clicks Cancel on this screen, then the program cancels the submittal and returns to the Edit Time Card screen.
After the employee clicks Continue on the Explain Changes screen, e-timecard prompts for reason codes for each late entry on the time card. So, if the employee made two late entries, e-timecard prompts for a reason code twice on one Explain Late Entries screen. If the employee clicks Cancel on this screen, then the program cancels the submittal and returns to the Edit Time Card screen.
After the employee clicks Continue on the Explain Late Entries screen, the Submit Time Card screen appears with a prompt for a late submittal reason code. If the employee clicks Cancel on this screen, then the program cancels the submittal and returns the employee to the Edit Time Card screen.
If an employee clicks Cancel on a screen in any of the items above, then s/he cancels only that type of reason code. All previous reason codes saved in that sequence remain in the audit trail. For example, if the employee clicks Cancel on the Explain Late Entries screen, then the change reason codes that s/he saved remain saved.
