Explanations of late entry/submittal parameters
The table below explains the parameters you can set for late entries and submits.

If you want e-timecard to check if employees’ time card entries are late, check the Enable late entry logic box. Then, in the Time that defines late entries field, enter the number of hours before or after midnight that e-timecard considers a late entry. If the entry is late, e-timecard marks it as late in the database. For example, if you enter -7, e-timecard considers the entry late if the employee enters it after 5PM. If you enter 8, e-timecard considers the entry late if the employee enters it after 8AM of the following business day. Find out how to set business days for employee types. |
Reason code required for late entries |
If you check the Reason code required for late entries box, and e-timecard finds at least one late entry on a time card, it prompts the employee for a reason code, as well as an additional explanation if you set up the code for this. The program considers new entries only, so if an employee changes an existing entry that was originally entered on time, e-timecard does not prompt for a late entry reason code, though it may prompt for a change reason code if the employee’s org9 is set up for this. e-timecard prompts for a late entry reason code for all late entries that an employee has made since last creating, opening, or saving/submitting the time card. On the Explain Late Entries screen, the employee can select a different reason code for each late entry, or apply the same reason code to multiple late entries. The system assigns the appropriate reason code/explanation to the audit records that it creates for each late entry. Find out how to set up reason codes. |

If you want e-timecard to check if employees’ time card submits are late, check the Enable late submit logic box. Then, in the Time that defines late submits field, enter the number of hours before or after midnight of the time card period end date that e-timecard considers a late submittal. If the submittal is late, e-timecard marks it as late in the database. Your entry here works the same as the example above for the Time that defines late entries field. |
Reason code required for late submits |
If you check the Reason code required for late submits box, and e-timecard determines that a time card submittal is late, then the Submit Time Card screen prompts the employee for a reason code, as well as an additional explanation if you set up the code for this. When the employee finishes submitting, e-timecard creates an activity record with the reason code/explanation that s/he entered. Find out how to set up reason codes. |
Find out how to indicate whether the system uses the database server or web server date and time to determine whether entries and submits are late. You can also decide whether e-timecard considers the time zone when it validates late entries and late submits.
Note: Even if you turn on late entry and/or late submittal reason codes, e-timecard never prompts for late reason codes under the following circumstances.
When group timekeepers or approvers enter time cards for other employees.
When employees make changes to archived time cards or resubmit archived time cards.
In all cases, e-timecard still marks the entries or submits as late in the database if you have late checking turned on.
