What are the types of reason codes?
Reason codes come in the following types.
Reason type |
Who uses it? |
Change Time Cards |
An employee making changes to time entries. For this reason type, you can decide if a change reason code is available depending on whether the time card is unsubmitted, submitted, or archived. |
Delegate Approval |
An approver delegating approval authority to another, or an administrator delegating authority from one approver to another. |
Reject Time Cards |
An approver rejecting an employee’s time entries. |
Mass Enter Time Cards |
A group timekeeper entering other employees’ time. |
Late Entry |
An employee making one or more late time card entries. |
Late Submit |
An employee submitting a time card late. |
Reason to Leave |
An employee entering clock-out time. |
Leave of Absence |
An administrator setting data for an employee who is on leave of absence. |
The System reason type is for internal use; you never create or change reason codes with this type. The other reason types apply to e-xpense, not e-timecard.
On the Org9 Setup screen, you choose the circumstances that require employees to enter a reason code with a Change Time Cards reason type, and you decide whether you want group timekeepers to enter reason codes with a Mass Enter Time Cards reason type.
On the Parameter Setup screen, you choose whether you want to require employees to enter reason codes with reason types of Late Entry, Late Submit, and Reason to Leave.
On the Employee Details screen, you set the Employee Status field to On Leave under the Main tab, then you enter a leave of absence reason code as well as the start and end dates of the employee's leave under the Dates tab.
Approvers delegating their authority or rejecting time cards are always required to enter a reason code with a Delegate Approval or Reject Time Cards reason type, as applicable. You cannot turn these settings on or off like you can for the other reason types.
