Valid Values Setup is where you define valid codes that are used in different areas of e-timecard and e-xpense. Following are the types of variable codes that are relevant to the current version of e-timecard/e-xpense.
Currency types. When you set up currency codes, you have the option of creating detail records with different rates for different currency types.
Job titles. These are the sequence numbers that you enter in job assignment code detail records. You use job assignment codes for default jobs to use in vacation and paid leave expense accruals, expense distributions, and unallowable expenses.
Employee titles. You can set up different titles for your employees. You can then enter a title in the employee's master record if you wish for reporting purposes.
Text codes. If you set up validation of text codes that employees can enter on time cards, then e-timecard validates employees' entries against the text codes that you set up here.
Location codes. If your company has multiple offices in different locations, then you can set up codes for each one. You can then enter these locations in employee records, and if you set up the location as an editable field on the time card, then employees can enter a location on the job line.
Note that these location codes are not related to e-xpense per diem rate tables, which you set up on the Per Diem Tables screen.
User-defined field values. If your company has users enter values to user-defined fields, then you can let them look up from valid values that you define here. To do this, create valid values for the table of your choice, then select that table from the Lookup Table Name dropdown list on the User-Defined Fields screen.
Note: The LOA Reason table ID is not currently in use. You define leave of absence reasons on the Reason Codes screen.
Below are instructions for setting up valid values for e-timecard and e-xpense tables.
To set up a valid value
From the JAMIS Administration home page > Setup tab, under Application Setup, click Valid values. Or, from the top of any JAMIS Administration screen, click Application Setup > Valid Values. The Valid Values screen appears.
From the Table ID dropdown list, select one of the following options.
Currency Types (CRNTTY)
Job Titles (JASGTI)
Employee Title (EMPLTI)
Time Card Text Field (TCTEXT)
Location Code (LOCATE)
If you are setting up valid values for a user-defined field, select the table that users can look up from.
Click Add. In the bottom section of the screen, entry fields appear for the table ID that you selected.
In the Variable Code field, enter up to 10 characters for the code that the user will enter on the appropriate e-timecard or e-xpense screen. This code must be unique for the table ID that you selected.
Enter up to 30 characters for a description of the variable code.
This step applies only if you selected the Location Code table ID. Instead of User-Defined Character 1, there is a Database Server Time Difference (+/-) field. Here, you can enter the time difference between this location code and your server.
For example, if your server is in Washington, DC and the location code is in Los Angeles, you would enter -3. If you set up the appropriate options in Parameter Setup, then the system uses this value to determine whether an employee's time card entries and submits are late, and whether future entries to earning codes are allowed.
In each of up to three user-defined, alphanumeric fields, you can enter up to 30 characters of data if you wish.
Click Update to commit your variable code entries.
