What are the optional fields to create an employee record?


Those fields that the previous topic did not list are optional to create an employee record. We describe those optional fields that require further explanation in the table below.

Location

To enter a value in this field, you must first create it on the Valid Values screen. Location codes allow companies who are hiring in labor surplus areas to run user-defined reports to receive credits for the use of that labor. You can also use the location if your company has other required reporting by location, such as tax reporting.

Cost Element

Cost elements are the lowest level of cost entry. Employees record time to a cost element so that you can later post to a job cost module. In some companies, an employee always charges time to the same cost element. Although this field is optional, you can enter it as a default for the employee. The employee can override it during time card entry if necessary.

Job Assignment Code

Job assignment codes are tables that contain combinations for valid jobs. You can use them for default job/cost element combinations to use in expense accruals for vacation, sick, or holiday pay.

You can enter job assignment codes in the org9 record. The code from the org9 defaults into the employee record. When any combination changes, you make the change to the job assignment code rather than to each employee record. But keep in mind, you may have to manually change the job assignment code in the employee record if the employee changes to a different organization that uses a different job assignment code.

Hint: In the Initialization file, under the Time Card Setup tab, you set whether you want the location and cost element to be required or optional on time cards. Entries that you make for these fields in the employee file default onto the employee’s time card. If you set these fields to required, but you leave them blank in the employee file, the employee will have to enter them manually in order to save the time card.
