Task 3: Linking group IDs to functions


After you create group IDs, you go to the Function Security Setup screen to link a specific group ID to a function. You must link each group ID to at least one function.

The user can have either update or read-only access to the function. Choose the read-only level if you want the user to be able to view screens only. Choose update if you want the user to be able to enter or change data.

Listed below are some e-timecard functions that might be helpful for a site administrator to have update rights to.

Delegate time card approval from one approver to another. This grants access only to administrators, not to approvers.

EMAIL_NOTIFICATIONS

Send emails regarding time card status to employees and approvers.

Access and edit the Employee Details screen.

PROCESS_QUEUE

View the status of processes.

GROUP_TIME

Mass enter unapproved employee time cards.

APPROVED_GROUP_TIME

Mass enter pre-approved employee time cards.

TIME_CARD_REVIEW

Review time cards, including missing time cards.

CUR_TIME_DETAIL

View the current time card detail report.

DETAIL_TC_STATUS

View the current time card detail status report.

CUR_TIME_SUM

View the current time card summary report.

SUMMARY_TC_STATUS

View the current time card summary status report.

ARC_TIME_DETAIL

View the archived time card detail report.

ARC_TIME_SUM

View the archived time card summary report.

EARN_CODE

View the archived earning codes report.

AUDIT_FLD_CHNGE

View the audit field changes report.

Use one of the following two functions if you need to set up users with access to change passwords, but no other administrative functions. To set up users with access to employee data in addition to passwords, use the EMPLOYEES function.

RESET_EMPLOYEE_PASS

Reset the password that employees use to log into the entry/approval web application. Note that users can also use this password to log into administration if the employee record and user security record are linked.

RESET_USER_PASS

Reset the password that users enter when they log into the administration web application.

If you are setting up security for a user who administrates the e-xpense module, then you should give this user update rights to PER_DIEM_TABLES, APPROVE_AUDIT_GROUPS, VENDORS, and the four functions that start with EXPENSE. If you are setting up security for a group expense keeper, then you must give the user update rights to MASS_EXPENSE_ENTRY. The functions that grant access to e-xpense web reports are: CUR_EXP_RPT, CUR_PRE_AUTH_REQ.

To link a group ID to a function

  1. From the home page > Setup tab, under Security, click Function security setup. Or, from the top of any screen, click Security > Function Security Setup. The Function Security Setup screen appears.

  2. Click Add. In the bottom section of the screen, function security entry fields appear.

  3. Enter a group ID or click html/lookup.gif to the right of the field to look it up.

  4. Select a module from the dropdown list.

  1. Enter the name of the function that you want to link to the group ID. Click html/lookup.gif to the right of the field to look up functions for the module that you selected.

  2. Select Read Only or Update from the Access Type dropdown list.

  3. Click Update to commit your function security entries.
