Creating time card profiles for variable-length work weeks


If your company varies the length of its work weeks, then you can set up time card profiles that validate hours based on the time card schedule, rather than the profile, if a particular period is less than or more than the standard number of days.

An example of a situation where you could use this option is if your company always begins a new time card period on the first of the month. At the end of each month, there will be a short time card period where employees’ total hours will be less than the total set in the time card profile.

By setting up a time card profile according to the instructions below, you tell e-timecard to replace the time card profile total value, for either the Regular From, Regular Through, or Premium Pay 1 From field, with the time card schedule’s Time Card Period Standard Hours value for that period.

Note: If you set up a variable-length profile with a biweekly profile frequency, then whenever a time card period is greater than or less than 14 days, e-timecard does not validate against your entries for total 1, total 2, or biweekly total in the profile.

To create a time card profile for variable-length work weeks

Create time card schedules and time card periods. To create a time card period that is less than or greater than the standard number of days, you can split the time card period.

Then, set up a time card profile using one of these procedures:

While setting up the profile header, select one of the three options described below from the Use time card schedule hours for the total regular hours dropdown list:

Regular Total From

If employees enter less than the standard hours for a variable-length work week, then e-timecard gives them an error.

Regular Total Through

If employees enter more than the standard hours for a variable-length work week, then e-timecard gives them an error.

Premium Pay 1 Total From

This option lets you vary the length of your work weeks, yet prevent employees from entering overtime before reaching the regular hours limit.

  • If the employee enters more than the schedule’s standard hours, then the system forces the employee to enter the hours to overtime.

  • If the employee’s regular hours are less than the schedule’s standard hours, and the employee charges hours to overtime, then the system generates an error.

Note that this assumes there is no daily entry in the time card profile. If a daily profile does exist, then e-timecard checks both the daily entry and the total, and there may or may not be an overtime error.
