Choosing error handling defaults for time cards

In JAMIS, there are required fields that the program must validate before you can post to Job Cost.

If you export time cards to JAMIS, that application performs final validation when you import the data into the Payroll module, but e-timecard performs screen validation when the employee enters the data on the time card.

In the validation type section of the Initialization screen, you determine how e-timecard handles time card fields and the type of error it gives to employees. The following table shows some things to consider when making your settings. Note that all of these field labels are user-defined.

For this field...

Consider this...

Job Number

This field is always required. If your company is regulated by DCAA, then employees must be able to charge to jobs if they worked on them, regardless of the status of the job.

Earning Code

This field is always required. In time card entry, the earning code defaults to the regular code that you enter in the employee type file, unless you turn this feature off on the Parameter Setup screen.

Job Date Range

If your company is regulated by DCAA, then employees must be able to charge to jobs if they worked on them, regardless of whether the job’s end date has already passed. Keep in mind that a hard error does not allow charges outside the period of performance for the job.

Work Order Date Range

If your company is regulated by DCAA, then employees must be able to charge to jobs if they worked on them, regardless of whether the work order’s end date has already passed. Keep in mind that a hard error does not allow charges outside the period of performance for the work order.

Your choices for error types are:

Hard Error

Employees must change the entry before they can save the record.

Soft Error

Employees don’t have to change the entry to save the record, but e-timecard places a notation on any line with a soft error.

No Validation

The program does no error checking.
