Setting e-timecard data for an employee

The instructions below tell you how to set e-timecard data for an employee.

To set e-timecard data for an employee

  1. On the Employee Details screen, click the e-timecard Data tab.

  2. Click the Use e-timecard check box to allow the employee to enter time in e-timecard.

  3. If you set up disabling users after failed login attempts, you must unchceck the Disabled box to restore the employee’s ability to log in. You can also use this field at any time to enable or disable the employee’s access to the system.

  4. The Approver field defaults from the Manager ID field under the Employee Details Main tab. You can override this setting with another employee ID, but that employee must be set up as an approver. To look up valid approvers, click html/lookup.gif to the right of the field.

The approver that you set here corresponds to the Time Card Approver setting on the e-timecard Initialization screen, Approvals tab.

  5. If the employee uses the same time card profile that you set on the Employee Types screen, leave the Time Card Profile Code field blank. Select a profile code from the dropdown list here only if you want to override the value from the employee type.

  6. If you would like this employee to use a different holiday schedule than the one that you set in the employee type, make a selection from the Holiday Schedule dropdown list.

  7. Select either Yes or No from the Self-Approve Time Cards dropdown list if you want to override the employee type setting. If you select Yes, then e-timecard gives the employee the option to approve his or her own time card when submitting it.

  8. Click the Time Card Approver check box to allow the employee to approve other employees’ time cards.

  9. Click the Auto-Create Time Cards check box to automatically generate time cards for the employee.

  10. The value in the Full-Time Percent field defaults from the employee type. If this employee works standard hours other than the default for the employee type, enter the different percentage.

If you enabled holiday prorating for your company, and if this employee’s full-time percent falls within the range that you entered for the employee type, then e-timecard prorates the employee’s holiday hours by dividing the hours from the holiday schedule by the full-time percent in this field.

  11. Regardless of your org9 setting for the Loaned Labor Type field on the Loaned Labor screen, No Validation defaults here. This means that the employee can enter unlimited loaned labor hours. If you want to change this setting, select one of these options:

  1. Note: This screen shows you, for each year, the employee’s maximum loaned labor hours and the cumulative loaned labor hours to date. You cannot edit these fields.

  1. Enter an optional salary level and job grade if needed.

  2. Click Save to commit your entries under all Employee Details tabs.
