Creating time card profiles for eight-day work weeks


You can set up an eight-day work week profile if your company overlaps its work weeks. For example, if a time card period starts each Friday at noon and ends the following Friday at 11:59AM, then the time card requires eight days, including two Fridays. e-timecard validates hours worked based on the eight-day period total and the totals for the individual days, including the overlapping ones.

Before you create a time card profile for an eight-day work week, you must set up a time card schedule with a Pay Frequency of Weekly or Biweekly and a Time Card Frequency of 8 Days Week.

As is the case for all time card profiles, you set the error type for validating hours on the Employee Types screen, e-timecard Data tab. e-timecard uses your setting for the Daily field in the employee type when validating day 1 through day 8 in the profile; it uses your setting for the Weekly field in the employee type when validating the eight-day total in the profile.

To create the profile header for eight-day work weeks

  1. From the JAMIS Administration home page > Setup tab, under Time Card Setup, click Time card profiles. Or, from the top of any JAMIS Administration screen, click Time Card Setup > Time Card Profiles. The Time Card Profiles screen appears.

  2. Click Add. The screen displays time card profile header entry fields in the top section.

  3. Enter up to 10 characters to designate a time card Profile Code.

  4. Enter up to 30 characters for a Description.

  5. Select an existing eight-day time card Schedule Code from the dropdown list.

  6. The Profile Frequency defaults to 8 Days Week; you cannot change it.

  7. If employees attached to this profile should always receive overtime, even if their hours do not meet the standard total hours expected for the day or eight-day week, click the Mandatory Overtime check box.

  8. Click the Warn when employee doesn't meet both daily and profile total check box if you want e-timecard to generate an error if an employee's entries do not match both daily and eight-day totals.

  9. Select Not Used from the Use time card schedule hours for the total regular hours dropdown list.

  10. Select an existing profile error message from the dropdown list.

  11. Click Save to commit your time card profile header entries. The screen displays time card profile detail lines in the bottom section.

To create the profile detail for eight-day work weeks

  1. Click Edit to the left of the daily detail line for which you want to make entries. Editable detail entry fields appear.

  2. In the Regular From and Through fields, enter up to two decimal places for the minimum, maximum, or range of fixed hours that an employee is scheduled to work.

    Remember that day 1 and day 8 are the overlapping days. For example, if you set the standard hours for day 4 through day 7 at eight each, you might set the hours for day 1 and day 8 at four each.

  3. If you wish, select an existing profile error message from the dropdown list.

  4. Click Update to commit your time card profile detail entries.

  5. Repeat steps 1 through 4 for each applicable day.

  6. Click Edit to the left of the eight-day total line. Editable detail entry fields appear.

  7. In the Regular From and Through fields, enter up to two decimal places for the minimum, maximum, or range of hours for the eight-day week.

  8. If you wish, select an existing profile error message from the dropdown list.

  9. Click Update to commit your time card profile detail entries.
