Creating an export


If your company has multiple time card schedules, you must perform the steps below for each schedule that you want to export/archive.

To create an export

  1. From the JAMIS Administration home page > Daily Processes tab, under Interfaces, click Export time cards. Or, from the top of any JAMIS Administration screen, click Interfaces > Export Time Cards. The Export/Archive Time Card Data screen appears.

  2. Click the dropdown arrow for Time Cards to Export. Select one of the following.

  1. Select an existing Time Card Schedule from the dropdown list.

  2. Click on the dropdown arrows for Time Card Date From and Time Card Date Through to select the time card periods that you wish to export. Your options in these fields depend on your selection for time card schedule.

  3. The check boxes for Export Current Time Cards and Export Amended Time Cards are selected by default. Uncheck either box to exclude from the export.

    Note:
    If you are exporting to JAMIS, amended time cards create an ”r;X” type payroll in Time Entry.

  4. To limit the export to a specific range of employees or org9s, enter a range for either or both under Export Ranges. To include all in the export, leave these fields blank.

  5. Under ASCII Output File Information, the Format field defaults according to your choice in the System to Integrate field on the e-timecard Initialization screen. Although you can change this setting here, we do not recommend it.

  6. In the Location field, the path to the ASCII file defaults from the Output Location of Interface File field on the e-timecard Initialization screen, Interface Options tab. You can change the path for this export if you wish.

    For a permanent change, fix the information in e-timecard Initialization.

  7. The output file name defaults to prascifi. You can change the file name or add a file extension.

    Note:
    If you are exporting to JAMIS and you change the file name on this screen, then when you bring the ASCII file into Time Entry, you must change it back to prascifi.

  8. The default setting is to create a new ASCII file for each export; the new ASCII file overwrites the previous one. To append to the existing file, click Append to ASCII File.

    Note:
    If you are exporting to JAMIS and you want to overwrite the previous file, make sure that you’ve already brought it into Time Entry. If you haven’t, then you must choose the append option.

  9. To make a backup copy of the new output file, click the Create Backup check box. An edit box opens that displays the path and file name. The name defaults to the time card schedule code/pay period end date and system time. For example:

    By creating a backup each time that the ASCII runs, you give yourself a fallback position in case anything unexpected happens during the import into your payroll module.

  10. The default setting is to create a new backup file. If you want to append to an existing backup file, overwrite the file name that defaults in the previous step and click Append to Backup File.

  11. Click OK to run the export.

  12. The Process Queue Setup screen appears. You can change the default options if necessary.

  13. Click OK.

  14. A dialog box appears with the process ID. Make a note of it and click OK. The program runs the export and places your process in the process queue.

  15. From the top of the screen, click Management > Process Queue. The Process Queue Management screen appears. Under Filters, your user ID and the status of Not Completed default, and the bottom section of the screen automatically lists processes that match these criteria.

    Hint:
    If you do not see your process, select a different status from the dropdown list, then click Retrieve. For example, if you think that your process may be finished, select Completed. If you have trouble finding your process, you can select All to view all processes, though this may result in a large list.

  16. Look for your process ID to view the status of the export. The Status column shows that the process is pending, running, or failed.
