What are your approver modification options?

If, during the approval cycle, the approver detects anything that needs correction, this raises the question of how your company wants to handle those corrections. Should the approver be able to make the correction on the employee’s time card, or does the approver reject the time card to send it back to the employee to correct him/herself? And what happens to employee time cards that are incomplete because the employee is out of the office?

The Approver Modify Time Cards field addresses all of these questions. You can choose one of the options described in the table below. Note that we define absent hours as hours attached to earning codes with the following earning classes: Vacation, Sick; Holiday; Approved Time Off; and No Pay.

Cannot make changes at all

Approvers cannot make any changes to an employee’s time card. The approver must approve or reject the time card as it stands.

Add absent hours

Approvers can add absent hours to any day but cannot change hours entered by the employee. Approvers cannot enter non-absent hours.

Add absent hours to blank days

Approvers can add absent hours to a blank day but cannot add or change absent hours on a day when the employee has entered hours. Approvers cannot enter non-absent hours.

Add hours to any days

This combines the next two options. Approvers can add absent and non-absent hours to any day but cannot change hours that the employee entered.

Add hours to blank days

Approvers can add absent and non-absent hours to a blank day but cannot add or change hours on a day when the employee has entered hours.

Add hours to existing days

Approvers can add absent and non-absent hours to a day that already has hours entered but cannot change the hours that the employee has entered.

Add and change hours on any days

Approvers can add, change, or delete absent and non-absent hours for any day on an employee’s time card.
