What are budgets?


JAMIS e-timecard gives you the option to set up budget hours to display and validate on time cards. You can track hours charged to a job against the hours that you budget.

You enter budgeted hours by job/cost element/labor category. You can link each budget to a specific employee, or you can have a budget apply to all employees when they charge to the job/cost element/labor category. You choose whether to simply display the remaining budget hours on the time card line, or whether to generate an error if an employee charges over the budgeted hours.

As the employee enters data on a time card line, e-timecard follows these steps to look for a budget record.

  1. Checks if there is a budget record for the employee/contract labor category/cost element/job number.

  2. Checks if there is a budget record for the contract labor category/cost element/job number.

  3. Checks if there is a budget record for the cost element/job number.

  4. Checks if there is a budget record for the job number.

At the first step in this process where e-timecard finds a budget record, it fills in the time card line’s Budget Hours field with the remaining hours budgeted. This is the same value that you see in the Hours Remaining field on the Budgets screen.

Depending on whether you enter an employee ID in the budget record, the Budget Hours field either tells the employee how many more hours s/he can enter for the job/cost element/labor category, or it indicates how many more hours all employees can enter for the job/cost element/labor category.

For example, if the Budget Hours field displays six hours, and the employee enters eight hours, then s/he is two hours over the budget. If you select to generate an error, then the employee must change the entry to six hours or less to avoid an error.
